Executive Assistant

Reports to: Chief Executive

Based at: Scottish Land & Estates' , Eskmills, Musselburgh

Salary Scale: £30,000 - £37,000 per annum, dependent on experience.

Hours: 34.5 hours per week (9 – 5 Mon to Thurs, 9 – 4.30 Fri) with some flexibility required

Holidays: 32 days per year including 6 bank holidays

General overviewThe Executive Assistant provides administrative and operational support to the Chief Executive Officer (CEO), Chairman and Vice Chair (Policy), and works with SLE Senior Management Team to deliver the organisation’s executive function. The Executive Assistant will play a key role in the professionalism and effectiveness of the SLE Board. 
Main duties and responsibilities

Primary Duties and Responsibilities

  • Work directly with the CEO to support all aspects of daily work routine.
  • Work directly with the Chairman and Vice Chair Policy to support their SLE roles.
  • Maintain the CEO’s calendar, including scheduling meetings, appointments, speaking engagements, and other invites. Exercise discretion in committing time and evaluating needs.
  • Provide relevant information to the PA to the CEO on CEO, Chairman and Vice Chair (Policy) in relation to travel arrangements. 
  • Implement and manage effective communication systems and respond to internal and external correspondence, communications and emails as appropriate, ensuring, for example, that the logging of incoming correspondence takes place, that draft replies are requested and that responses and deadlines are monitored. This includes managing the CEO’s email account.
  • Serve as a liaison between the CEO, SLE membership and stakeholders. This includes receiving and screening the CEO’s phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution.
  • Determine priority of matters of attention for the CEO; redirect matters to staff to handle, or handle matters personally, as appropriate.
  • Manage the administration of the SLE Board, including meeting arrangements, paper production and distribution, preparing high quality minutes, helping to coordinate the work of the different groups, , and monitoring delivery of agreed actions.
  • Manage the onboarding of new Board members and support the Board recruitment process.
  • Assist the CEO in the development of presentations and papers for internal and external audiences.
  • Manage the delivery of the annual AGM and undertake all relevant company information administration
  • Work with the CEO and SLE colleagues to produce SLE Annual Report 
  • Work with SLE colleagues to prepare the CEO, Chairman and Vice Chair (Policy) for all internal and external meetings
  • Keep the CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up.
  • Compose and prepare letters relating to routine correspondence for the CEO’s signature.
  • Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.
  • Prepare documents, reports, tables and charts to support the executive function; distribute as appropriate.
  • Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.
  •  To implement and maintain efficient filing systems to provide structure and an effective reference resource at all times
  • Other additional and/or alternative duties as assigned from time to time, including supporting other Directors as needed.

Skillset and Background
  • Relevant qualification or commensurate experience
  • Three to five years’ prior experience in supporting a senior executive or team
  • Experience of working with a board of Directors 
  • Skilled at diary management
  • Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)
