Events Co-ordinator

Scottish Land & Estates is recruiting an Events Co-ordinator to join our communications and marketing team. This role would suit someone with experience in the organisation and delivery of events of any size with an interest in rural Scotland. We are looking for someone who has excellent administration and organisation skills along with the ability to work in a fast paced environment as part of a team. Line Manager: Head of External Affairs

Based at: Scottish Land & Estates, Eskmills, Musselburgh

Salary Scale: £28,000 – £33,000 pro rata per annum, dependant on experience.

Hours: 28 hours per week with some flexibility required during busy periods in Spring/Summer

Holidays: 32 days per year including 6 bank holidays pro rata

General overview

You will be working at the heart of a busy and vibrant team to play an integral role in the delivery of Scottish Land & Estates’ events calendar, including conferences, receptions, online webinars and everything in between. 

You will help to manage SLE’s relationships with corporate sponsors, members, presenters and keynote speakers including high profile politicians and people in business. 

The role will involve considerable engagement with internal staff, members, and external stakeholders.

Main duties and responsibilities
  • Co-ordinate and deliver SLE’s annual programme of national events, including working with the wider team on sponsorship, programming, marketing and production
  • Co-ordinate and deliver regional events alongside regional managers when required
  • Co-ordinate and deliver online events including Webinars, working closely with sponsors
  • Co-ordinate and deliver SLE’s presence at national and regional shows including the Royal Highland Show and the Scottish Game Fair. This will include on-site support for setup and attendance during the shows.
  • Co-ordinate and deliver SLE’s annual awards event
  • Ensure compliance with insurance, legal and health and safety requirements
  • Work with the Director of Operations to prepare budget and monitor expenditure for national events and shows
  • Carry out post event evaluation
  • Prepare management reports on event delivery
  • Manage the ‘Events’ section of the SLE website
  • Manage the SLE events schedule timetable
  • Management of bookings and delegate lists
Other Duties & Responsibilities
  • Support the production of weekly eNews and Events newsletters, when required.
  • Support the production of other publications as and when required.
  • Provide occasional support to the Members Communication Manager in delivering our quarterly Land Business publication, including arranging editorial meetings and co-ordinating submission of content.
  • Provide occasional support to members of the communications team in fulfilling immediate priorities from social media to member mailings.
  • Updating and maintaining mailing lists on Mailchimp

Skills/Knowledge
  • Excellent organisational and event delivery skills
  • Proficient in the use of online event software, particularly Zoom
  • Excellent communications skills, including ability to engage with a wide range of people and deliver high quality written material
  • Proficient in the use of Microsoft Word, Excel, PowerPoint and Outlook.
  • General understanding of, and interest in, issues affecting rural Scotland
  • Knowledge of databases and logging of information
  • Knowledge of design software including Canva
  • Financial management
